I use this method to regularly clear out my inbox and keep it at a consistent zero, ensuring that all emails have been addressed and handled.

Reduced stress — A cluttered inbox can cause unnecessary stress in your life. By using the zero-inbox strategy, you’ll be able to reduce that stress and improve your overall well-being.

Improved organization — Helps you stay on top of your emails and keep them organized, making it easier to find important information.

Better time management — By regularly clearing out your inbox, you’ll be able to better manage your time and prioritize important tasks.


Time-consuming — Clearing out your inbox and keeping it at a consistent zero can be time-consuming, especially if you have a high volume of emails.

Requires discipline — Requires discipline and regular effort to maintain. It can be easy to fall out of the habit and let your inbox become cluttered again.

May miss important emails — If you’re not careful, you may accidentally delete or archive important emails while trying to achieve inbox zero.

Not suitable for all types of work — for some types of work, like customer service and sales, it is not practical to have a zero inbox as it requires quick response time and the ability to follow up on leads and clients.

Tips to achieve zero-inbox:

  1. Unsubscribe from unnecessary emails: Go through your inbox and unsubscribe from any emails that you no longer need or want to receive.
  2. Sort your emails: Sort your emails into different folders or labels to keep them organized. This can include folders for important emails, personal emails, and emails that need a response.
  3. Create a system for handling emails: Develop a system for handling emails as they come in, whether it’s replying right away, flagging for follow-up, or archiving.
  4. Set aside specific times to check and respond to emails: Instead of constantly checking your inbox throughout the day, set aside specific times to check and respond to emails.
  5. Use filters and rules: Use filters and rules to automatically sort and categorize emails as they come in, so you don’t have to manually do it.
  6. Archive or delete emails: Once you’ve responded to an email or taken the necessary action, archive or delete it. This will help to keep your inbox clean and organized.
  7. Review and organize: Review your inbox and organize any remaining emails. This may include replying to any missed emails, forwarding emails to the appropriate person, or creating tasks to follow up on later.
  8. Repeat the process: The zero-inbox method is not a one-time process, it requires regular effort and discipline to maintain. Repeat these steps regularly to keep your inbox at a consistent zero.
